How to Write a Successful Erasmus+ Project Application

Erasmus+ is one of the European Union’s most impactful programmes, offering opportunities in education, training, youth, and sport. It supports individuals and organizations to learn, share experiences, and collaborate internationally. Whether your goal is student mobility, strategic partnerships, policy innovation, or youth participation, every Erasmus+ journey begins with a strong project application.

In this article, we’ll explore how to prepare a high-quality Erasmus+ application, regardless of the action type (KA1, KA2, KA3, or other sub-programmes).


1. Understand the Erasmus+ Programme Structure

Before writing your application, it’s essential to understand the programme’s key actions:

  • Key Action 1 (KA1): Learning Mobility of IndividualsSupports student and staff exchanges, youth mobility projects, and volunteering.

  • Key Action 2 (KA2): Cooperation among Organisations and InstitutionsFocuses on partnerships to develop and transfer innovation and best practices.

  • Key Action 3 (KA3): Support to Policy Development and CooperationSupports projects that aim to improve youth policies and promote civic participation.

  • Other actions:Initiatives like DiscoverEU, Jean Monnet activities, Sport projects, and Capacity Building in third countries also fall under Erasmus+.

Each type has different priorities, target groups, and requirements. Be sure to read the most recent Erasmus+ Programme Guide thoroughly.


2. Identify a Real Need or Opportunity

Successful projects are based on a clear and relevant problem or opportunity. Ask yourself:

  • What challenge are you trying to solve?

  • Who will benefit from this project?

  • Why is this the right time to act?

Support your idea with data, past experience, or evidence from the field. Projects that respond to real needs and align with Erasmus+ priorities (inclusion, digital transformation, sustainability, participation) are more likely to be funded.


3. Build or Join the Right Partnership

Erasmus+ is a collaborative programme. Whether you are coordinating or joining a project, make sure the partnership:

  • Is diverse and relevant to your goals

  • Has clear communication and defined roles

  • Brings complementary expertise

For KA2 and KA3 projects, strong partnerships across countries and sectors (NGOs, schools, universities, municipalities, etc.) are often key to success.


4. Set Clear Goals and Plan Your Activities

Your project should be structured around realistic, measurable goals. Develop a detailed activity plan:

  • Define what you aim to achieve (objectives)

  • Describe how you will achieve it (activities and methods)

  • Indicate when each step will take place (timeline)

  • Explain how you will evaluate success (indicators and tools)

Use logical, clear language and stay focused. Vague or overcomplicated plans may weaken your proposal.


5. Budget Carefully and Justify Your Costs

The budget must reflect your project needs honestly. Each cost must be:

  • Eligible according to the Erasmus+ rules

  • Proportionate and justified

  • Consistent with your activity plan

Avoid unrealistic or excessive estimates. Show that you understand how to manage EU funds responsibly.


6. Plan for Visibility, Dissemination, and Sustainability

A good project creates impact beyond its participants. You should explain:

  • How you will share results with the wider community

  • What tools or platforms you will use

  • How the project will continue to benefit others after funding ends

Include clear, realistic plans for multiplying your project's effect.


7. Write Clearly and Answer All Questions

Many strong ideas get rejected due to unclear or incomplete applications. To avoid this:

  • Answer each question in the application form directly

  • Use plain language

  • Avoid repetition

  • Provide evidence when possible

  • Respect word or page limits

Proofread carefully and, if possible, ask someone with Erasmus+ experience to review your draft.


8. Submit On Time and Keep a Copy

Don’t leave your submission to the last minute. The online system (such as the Erasmus+ Platform or EU Login) can be slow on deadline day. Submit early and keep a copy of everything for your records.

But it is also a rewarding process that opens doors to powerful learning experiences, new partnerships, and long-lasting impact.
